What to include in your message
None of this is mandatory. The more of it a first message contains, the more specific the first reply can be — and the fewer rounds of clarification are needed before a useful conversation starts.
- The situation
- A short description of the process, product or system involved, and who uses it.
- The outcome
- What you want to be true when the work is finished, described in operational rather than technical terms.
- Existing systems
- Any platforms, databases or third-party services that the work would have to accommodate.
- Constraints
- Deadlines, regulatory requirements, internal standards or budget boundaries you already know about.
- Current state
- Whether this is an idea, an existing system needing change, or a project already under way.
- Point of contact
- Who will be responding on your side, so replies reach the right person.
